The purpose of the Medical Records Coordinator is to assist the Business and Administrative Services Manager in training, guiding and instructing of medical records staff and monitoring of the electronic and paper medical records.

Essential Duties
Lead the medical record department by assisting in training, guiding and instructing medical records staff and monitoring of the electronic and paper medical chart.

Act as lead worker of Medical Records and in absence of Business and Administrative Services Manager assist with decision making around the medical record and medical record staff.

Monitor release of confidential health information and ensure release forms are obtained when required.

Report and assist in resolving problems related to the electronic medical record and analyze scanned documents for accuracy into the proper category.

Assist in developing medical record policies and procedures.

Receive and review requests for release of confidential information for compliance with Federal, State and local agencies standards for release. Redact confidential information to ensure specific sensitive information is not released without appropriate consent. Copy and mail documents to persons/agencies requesting information with proper release. Obtain missing information from staff, clients or requesting agencies to complete the release of information. Maintain a log for replies of requests and monitors for promptness in response. Assist agency staff and answers questions regarding all aspects of release of information and agency records. Maintain knowledge of release of information policies and procedures.

Receive, review and reconcile billing sheets against case notes for contracted staff. Check that addition on billing sheets match time on case notes. Contact contracted staff if discrepancies.

Monitor and report HIPAA compliance.

Monitor Informed Consent for Medication forms for expiration and signatures.

Create new client charts, maintain current charts and close charts when needed.

Assist with program audits.

Assist BAS Manager and BAS IT staff in developing and maintaining the electronic medical record chart.

Scan all paper documents received by the agency into the client’s electronic medical record.

Maintain supplies for Records Department.

Photocopy, assist other staff, distribute faxes, and fax records as requested.

Responsible for Imaging of Records.

Provide assistance and coverage for other medical records staff as needed.

And other duties as assigned.

Required Working Hours

Standard working hours are Monday through Friday, 8:00 am until 4:30 pm. Please note these hours are subject to change and additional hours may be needed or required. Compensation for additional hours beyond normal working hours are subject to applicable state and federal regulations.

Minimum Training and Education
Required:

Associate’s degree in Medical Records Technology, Human Services, or another related field

2 years of medical record keeping experience

OR

High School diploma or equivalent AND

5 years of medical record keeping experience

Preferred:

Associate’s degree in Medical Records Technology, Human Services, or another related field

Any combination of education and experience that provides equivalent knowledge, skills and abilities may be considered.
