Wage: $20.97 – $23.98/hr

GENERAL FUNCTION
The Administrative Assistant position, under the direction of the Register in Probate and Circuit Court Judges, is clerical in nature, involving responsibility dealing with the public and professionals.

RESPONSIBILITIES
A. ESSENTIAL FUNCTIONS
1. The primary responsibility is coverage for the judicial assistants in their absence (i.e., vacations and sick leave). These duties include managing the court’s caseload and calendar, coordinating and scheduling court hearings and meetings; preparation of documents, correspondence and pleadings – using the Circuit Court computer system; assisting attorneys and the public; and other duties as directed by the judge. When not filling in for the judicial assistants, this position is working in the Probate Office.
2. Receptionist duties which include answering telephone promptly and courteously, relaying calls to appropriate staff person, or taking messages, filing, transcription, opening and distributing mail. Greeting public, determining their requests and providing information and referral as needed, and announce visitors to appropriate staff member.
3. Scheduling trial dates and sending out notices, keeping probate court calendar current; prepare legal documents and correspondence; and receipt payments for probate filing fees, using the Circuit Court computer system; update law library – inserting updates.
4. Assemble and mail Guardianship Annual Accounts and Annual Reports to guardians. Assemble and mail monthly Protective Placement reviews, schedule reviews, and index same in Circuit Court computer system.
5. Assist the public with general inquiries regarding guardianships and review guardianship annual accountings for filing in Circuit Court computer system. Assist the public with general inquiries regarding filing wills and probate procedures, and receipt of probate documents for filing in Circuit Court computer system.
6. Order office supplies and equipment as needed.
7. Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.
8. Must be familiar with and exemplify the Wood County Core Values and serve with courtesy and respect in accordance with the Wood County Code of Conduct.

OTHER JOB DUTIES
1. Any other duties as may be assigned.

EXPERIENCE, TRAINING, QUALIFICATIONS
High school graduate, or equivalent. Completion of Office Support Specialist, Administrative Assistant or Legal Secretary Associate Degree desired; at least three (3) years of verifiable legal secretarial experience preferred. Typing skills of 45 w.p.m. preferred. Must accurately and efficiently operate a computer, and software (Word, Excel, and County required) and to learn any changes that may occur. Demonstrate ability to maintain confidentiality, and to possess a pleasant and professional manner while dealing with the public. Everyday living skills are needed, as is the ability to understand and follow oral and written directions. Reading and writing is needed to understand information contained in legal documents, filing and taking messages.

Basic office equipment used – typewriter, calculator, copy machine, computer terminal, keyboard, and printer, FAX machine, microfilm reader and telephone.
