POSITION SUMMARY:
This position provides confidential, skilled legal support work for the Circuit Court system providing services to the courts, general public and attorneys. This includes preparing cases, drafting and processing various legal documents, maintaining court official calendars, participating in court proceedings, and accurately updating and maintaining official paper and electronic records, and other related duties.

ESSENTIAL FUNCTIONS:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. To perform this job successfully, an individual must be able to perform each duty satisfactorily. Other duties may be required and assigned.
• Assist judges, public, attorneys and other agencies with information, completing forms, filings, and court rules.
• Assist with daily case management of court files, including creating and maintaining computer records, and complying with the statutes under the supervision of the Clerk of Court.
• Prepare cases for appeal to Court of Appeals and Supreme Court, including compiling and indexing the court record, and notifying attorneys prior to and submission to a higher court.
• Performs customer service, case management and jury back-up duties for department as needed or assigned.
• Schedule and re-schedule hearings as directed by court official; prints court calendars; retrieves files for court.
• Monitor case deadlines; supervises file management and maintains case files confidentiality; files court documents in paper and electronic formats.
• Perform court room duties, including marking and tracking exhibits, swearing in witnesses, locating parties relevant to hearing, preparing and reading bonds, taking minutes of court hearings, scheduling hearings, preparing notices to parties regarding next hearing date, conducting small claims initial appearances and referring cases to mediation, as necessary.
• Administer oaths as required by statute.
• Enter judgments, orders, liens, warrants, writs, and bond payments, etc.
• Docket and review incoming documents and determines action by routing to appropriate party or processing according to department and statutory processes.
• Docket and scan all court pleadings (paper filing and e-Filing) and daily case management of court files. Create and maintain related computer records.
• Drafts letters and court orders, prepares legal documents, including temporary restraining orders, injunctions, orders to seal records, name changes, warrants, judgments of conviction, etc.
• Perform records management duties to ensure statutory timelines are met for all cases.
• Provide copies and/or faxes to appropriate parties, certify, and notarize documents.
• Enter garnishments and non-earning garnishments.
• Process invoices, receipts payments for fines, fees and forfeitures using court approved financial software.
• Process judge substitution requests.
• Open new cases and creates files; files correspondence and other legal pleadings, consistent with retention policy.
• Collect and processes incoming and outgoing mail and faxes.
• Apply payments to outstanding accounts; monitor delinquent accounts, suspend licenses for non-payment and perform sanctions for non-payment.
• Answer and screen incoming calls and visitors; assists, provides information, or directs to appropriate staff.
• Maintain jury pools and panels, issue summonses, assemble jury panels, qualify jurors, prepare vouchers for jury payment, and perform numerous follow-up tasks with jurors.
• Conduct public record searches and criminal background checks.
• Cross-train and back-up front counter and other divisions as necessary.
• Maintain law library and updates legal resources as needed.
• Participate in on-going training regarding changes in laws, policies and procedures.
• Other duties as assigned.

EDUCATION AND/OR EXPERIENCE REQUIREMENTS
• Associates degree in a paralegal, legal support, clerical field, administrative assistant or related field with three (3) year’s clerical work experience.
• Previous customer services experience required.
• Previous work experience in a law enforcement or legal setting preferred.
• Previous bookkeeping/accounting experience preferred.
• Must successfully pass criminal background check.

LICENSES, CERTIFICATES, AND OTHER REQUIREMENT
• Must be bondable.
