Portage County is hiring a full time Chief Deputy Treasurer to join the team!

What are the primary job duties?

-Performs duties of the Treasurer in his/her absence according to State Statute 59.25.
-Provide supervision to the Treasurer Office staff.
-Assists Treasurer in the preparation of tax bills and collection of tax receipts and tax settlement processes.
Maintains municipal collections file for Managed Forest Land and Private Forest Crop.
-Receipts funds received in the Treasurer’s Office, prepares bank deposits, scan checks directly to the bank, verifies bank deposits.
-Maintains the daily reconciliation of cash, credit cards (online and in office); imports or posts daily transactions.
-Process and file all deposit item return notifications received from the bank.
-Process and file all void and stop payment information received from the bank for vendor and employee payments.
-Assists in the preparation of legal notices for publication and mailing.
-Prepares ‘Notice of Application for Issue of Tax Deed’ and sends by certified mail.
-Reconciles municipal tax collections with municipal account balances in MUNIS.
-Reconciles Sales Tax account, remits monthly Sales Tax report and payment to the State.
-Prepares Real Estate Transmittal monthly report and remits with payment to the State.
-Remits quarterly Probate and Vitals report and payment to the State.
-Prepares report and remits monies to the State for Marriage and Dog License Fees.
-Researches and processes requests for replacement checks.
-Maintains Personal Property Chargeback files and prepares requisitions for payment of County’s share.
-Performs the process to print the accounts payable checks and processes the EFT payments based on the select items to be paid listing received from the finance department. Process the EFT and positive pay files on the bank site.
-Performs the process to print the payroll checks based on payroll listing provided by the finance department. Process the EFT and positive pay files on the bank site.
-Processes receipt reversals and re-application of funds.
-Administers the Agricultural Use Penalty.
-Orders general office supplies.

What are the minimum qualifications?

-High school diploma or equivalent required.
-Associates degree in Business, Accounting, or related field required.
-Three years bookkeeping experience in a municipal government setting preferred.
-Any combination of education and experience that provides equivalent knowledge, skills and abilities.
