The Administrative Assistant Senior-Floater assignment works under the direction of the Office Administrator to provide support and assistance for the unit assigned to. Unit assignments are based on staff coverage and workload needs. Tasks are generally performed in accordance with department policies and procedures and state and federal regulations. The incumbent in this position must be able to manage a high volume of work, be comfortable with changing work assignments, have impeccable attention to detail in all assigned work, and be able to thrive in a fast-paced environment.

2024 Hiring Range: $21.82 – 24.79 per hour

Position Summary and Job Duties
• Performs a wide variety of administrative duties for public safety personnel, which may include confidential and sensitive matters
• Coordinates flow of paperwork; obtains appropriate authorizations, signatures, and documentation; works closely with department staff under tight time constraints
• Performs routine internal auditing work in verifying the accuracy and compliance to procedure of accounting books, reports, records, documents, and other financial information
• Maintains files and records; copies, scans, and saves files; retrieves files; and ensures appropriate organization and labeling of files and materials
• Represents the Kenosha County Sheriff’s Department in a professional manner
• Maintains program databases that include information pertinent to the execution of the program plan and compiles and prepares a variety of reports and records for the program area
• Operates a variety of office equipment including a PC/computer terminal, telephone, calculator, photocopier, scanner, and fax machine
• Performs other duties as required or assigned

• Knowledge of Sheriff’s Department practices and procedures, terminology and equipment
• Knowledge of the rules, regulations, policies, and program procedures as they apply to the Sheriff’s Department
• Knowledge of business math, bookkeeping practices, and English
• Ability to compile, analyze, record, and assemble data and information in a meaningful and effective manner
• Ability to organize self and office to meet schedules and deadlines of the work; work independently and with limited oversight to meet deadlines; follow oral and written instructions
• Ability to listen, communicate, and convey information and regulations clearly either over the phone or in person
• Ability to remain professional and courteous at all times and exercise good judgement in stressful situations while working with municipalities, businesses, agencies, and citizens
• Ability to communicate clearly, concisely, and respectfully, both orally and in writing, with law enforcement personnel and the public
• Ability to main confidentiality requirements, remain professional and courteous at all times, and exercise good judgement in stressful situations
• Ability to develop methods and procedures for handling unusual or complex situations and assignments
• Ability to adjust work hours and/or work overtime, as required

Job Requirements, Education, Training and Experience
Required Education and Experience
• High school diploma or GED equivalent
• Previous work experience in a secretarial or similar position
• Or any combination of education, training, and experience which provides the knowledge, skills, and abilities necessary to perform the job

Preferred Education and Experience
• Associate Degree in Administrative, Office, Clerical field
• Current work experience in the Kenosha County Sheriff’s Department

Other Job Requirements
• Valid driver’s license and acceptable driving record
• Access to a personal, insured vehicle for use in the performance of the job
• Background free of felony convictions
• Ability to become a notary public
• Ability to work overtime when needed, with or without advance notice
