Kenosha County Division of Workforce Development is recruiting for an Administrative Assistant Senior to join our team! The Administrative Assistant Senior, reporting to the Director of Workforce Development, will provide experienced-level clerical and office administration support to the offices of elected officials, department/division heads, and office managers, among others. This position requires significant knowledge of department or division work and activities and technical knowledge of policies and procedures specific to the assignment area.

2024 Hiring Range: $21.82 – $24.79 per hour

Position Summary and Job Duties
• Performs high-level clerical functions requiring considerable knowledge of the department and division procedures, including agendas, contracts, letters, claims, correspondence, and reports; legal documents including orders, judgments, bonds, and warrants; and confidential files and records
• Maintains various inventories and processes mail and correspondence
• Enters and maintains data/information
• May serve as receptionist for the department and division; answers, screens, and forwards calls; answers specific inquiries about the office which may include coverage at the Kenosha County Job Center or the Kenosha County Center
• Schedules and maintains department, division, and/or office activities which may include scheduling appointments, trials, and hearings and updating and maintaining calendars
• Collects, analyzes, and summarizes information and statistics for court cases, reports, presentations, and other projects
• Establishes, maintains, and updates department and/or division files; follows up and tracks necessary paperwork
• Formats and prepares correspondence, reports, or other documents
• Prepares purchase requisitions, payment vouchers, account entries, and posts to ledgers; reviews bills and processes for payment; deposits money; monitors account balances and tracks expenses
• May prepare agendas and take meeting minutes including County Board Committee meetings
• Performs other duties as required or assigned

• Using Microsoft Office software, including Word, Outlook, and Excel
• Performing moderately complex record keeping and filing tasks

• Making independent decisions in accordance with precedents and regulations and applying these decisions in work situations

• Perform general mathematics including decimals, percentages, and financial entries and calculations
• Follow moderately complex oral and written instructions
• Communicate effectively, both orally and in writing
• Meet schedules and deadlines of the work
• Maintain bookkeeping and clerical records

Job Requirements, Education, Training and Experience
Required Education and Experience
• High school diploma or GED/HSED equivalent
• At least two years of related work experience
• Or any combination of education, training, and experience which provides the required knowledge, skills, and abilities

Preferred Education and Experience
• Associate or Bachelor’s Degree in Paralegal, Administrative Professional, Human Services/Social Services, or related field
