ADMINISTRATIVE ASSISTANT

The Administrative Assistant for Brookside Care Center oversees the front desk and main entrance to the facility.

2024 Hiring Range: $20.31 – $23.08 per hour

Work Schedule
• This is a full-time position working 40 hours per week, Monday through Friday, from 8:00 AM to 4:30 PM

Position Summary and Job Duties
• Greet in-person visitors and callers; answer questions and resolve issues or forward appropriately
• Act as receptionist, providing customer service to visitors and callers
• Receive and direct calls, update, and check voicemail daily
• Enter and maintain data/information
• Identify and follow up on discrepancies or missing information
• Log, track, and update data, information, and documentation
• Maintain files and records
• Copy, scan, and save files
• Retrieve files and ensure appropriate organization and labeling of files and materials
• Process incoming and outgoing mail and packages; sign for packages and deliveries
• Format and prepare correspondence, reports, or other documents
• Order and maintain office supply inventory
• Perform cashiering duties, such as collection and processing fees
• Issue receipts and prepare deposits
• Perform other work as required or assigned
• Schedule, type, and email salon schedule
• Maintain admission log and discharge log
• Maintain the resident appointment schedule
• Make requests for Care Van medical appointments for residents

Medical Records Duties
• Obtain doctor’s signature for resident’s physician orders
• Check and sort through the “physician orders” that are kept in the mail room
• Fax orders to the corresponding doctor’s office for a signature
• Work with medical records on procedure for handling signed physician orders

• Basic knowledge of the facility
• Extensive knowledge of computer capabilities and proficiency in the Microsoft Suite which includes Word, Excel, Outlook, and Publisher
• Maintain efficiency and accuracy when entering data
• Remain calm and professional when dealing with complaints or difficult situations
• Meet schedules and deadlines of the work
• Multitask and be dependable and organized
• Maintain bookkeeping and clerical records
• Basic math skills–addition, subtraction, multiplication, and division
• Remain professional and courteous at all times
• Maintain confidential information
• Perform a variety of duties, often changing from one task to another of a different nature
• Handle multiple procedural processes simultaneously
• Provide quality customer service to customers in a timely manner and in crisis-like situations
• Use office equipment, including computer, calculator, scanner, phone, and fax machine
• Verbal and written communication
• Typing and data entry

Job Requirements, Education, Training and Experience
• High school diploma of GED equivalent
• One-two years of administrative assistant/clerical work experience

This position involves medium physical demands, such as exerting up to 50 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. This position may require sitting for long periods of time.

The successful candidate for this position will be required to comply with the Center for Medicare & Medicaid regulations and Brookside Care Center’s mandatory vaccination policy requiring vaccinations in healthcare facilities. Proof of vaccination will be required as a condition of employment unless an individual obtains an approved medical or religious exemption.
