PART-TIME DEPUTY REGISTER OF DEEDS
POSITION DESCRIPTION
I. Position Summary
This is a semi-skilled, entry level position in the Deputy Classification. Works average of 24 hours per week. Weekly hours may vary depending on needs of the department. Under the general direction of the Register of Deeds or the Chief Deputy Register of Deeds, performs work in the recording and indexing of all instruments and writings authorized by Wisconsin State Statutes in relation to real estate documents and performs all duties and functions as required by Wisconsin State Statutes with regards to State Vital Records.
II. Essential Duties and Responsibilities
1. Reviews real estate documents presented for recording according to Wisconsin State Statutes and makes determinations as to whether to accept or reject the documents.
2. Communicates with attorneys, surveyors, title company representatives and other customers regarding statutory requirements.
3. Enters documents into computer software.
4. Indexes real property descriptions and additional document data.
5. Properly indexes back scanned documents.
6. Reviews images for quality, accuracy, and defects
7. Aids the public for requests of real estate and vital records.
8. Properly answers telephone, forwards calls and/or takes accurate messages.
9. Assists with processing of vital records as required.
10. Assists with indexing vital records.
11. Assists with online requests of vital records.
12. Assists with daily mail requests.
13. Assists genealogists as required.
14. Assists the Chief Deputy with the duties of the register of deeds in their absence.
15. Assures office processes are carried out according to federal, state and county laws, ordinances, rules and regulations.
III. Educational Requirements
MUST MEET THE FOLLOWING:
1. High School diploma or its equivalent with a minimum of three (3) years of office experience, with general office procedures and computer knowledge. Reading and understanding of legal description, real estate recording documents is preferred.
IV. Knowledge, Skills, Licensure and Experience Required
1. Ability to operate Windows based PC.
2. Ability to efficiently operate Microsoft Office with Excel and Word
3. Ability to use general office equipment such as a calculator, fax machine, typewriter.
4. Ability to maintain confidentiality of records.
5. Ability to accurately type a minimum of 45 words per minute.
6. Knowledge of business correspondence format, grammar, English and Spelling
7. Knowledge of real estate software preferred.
8. Ability to establish and maintain effective working and public relationships.
9. Ability to understand and effectively carry out written and oral instructions.
10. Ability to work under limited supervision once on the job training is completed.
11. Ability to read cursive handwriting.
12. Perform related functions as assigned.
13. General knowledge of land descriptions and maps.
14. General geographical knowledge of Lafayette County is helpful.
V. Physical Requirements
1. Frequent bending, lifting, twisting, stretching, squatting, sitting, standing and walking.
2. Visual acuity
3. Ability to hear normal conversation.
4. Ability to communicate in a clear manner.
5. Good manual dexterity of hands and fingers
6. Able to lift/carry/push/pull at least 50 pounds.
