Records Specialist – Jail
Job Summary
Performs difficult and increasingly responsible administrative functions requiring data entry skills, independent judgment, initiative and specialized knowledge and understanding of laws, regulations and/or departmental policies and procedures. Responsible for conducting transactions with the public regarding matters requiring interpretation and analysis of laws, rules, and/or departmental policies and procedures.
Essential Duties
Receives calls and answers questions regarding departmental regulations and policies, or refers inquiries to the proper official and/or department.
Gathers information on a variety of subjects and independently compiles data and prepares various reports, including financial, statistical and legal reports.
Files and searches for information from a variety of sources.
Ability to provide instruction on systems within the Electronic Monitor Program.
Analyzes, interprets and processes information of a complex nature contained in a variety of documents, forms, reports, etc. pertaining to the department in which employed.
Applies the specialized knowledge of the department in which employed to related tasks.
Compiles reports, correspondence, schedules, calendars and assigned statistical data from recorded, written or printed materials.
Scan, organize and file reports within the organizational structure.
Obtains information from the public for the completion of forms, documents, records, etc.
Checks a variety of documents, reports and forms for accuracy and makes necessary corrections.
Maintains records and files.
Follows fairly complex oral and written instructions in the performance of duties.
Performs related functions as assigned.
Minimum Qualifications Required
Education and Experience:
High School Diploma, plus three years of responsible office experience; or any equivalent combination of education, training, and experience which provides the necessary knowledge, skills, and abilities.
Licenses and Certifications:
Ability to obtain State certification as a Transactional Information Management Enforcement (T.I.M.E.) operator in both Basic and Advanced programs.
Knowledge, Skills & Abilities
Knowledge of office procedures.
Knowledge of business English and spelling as well as the specialized knowledge and terminology of the department in which employed.
Knowledge of and ability to utilize a computer and the required software.
Ability to accept responsibility and exercise independent judgment.
Ability to interview and obtain information from the public (sometimes under stressful circumstances).
Ability to follow fairly complex oral and written instructions.
Ability to learn and apply the specialized knowledge and terminology of the department in which employed.
Ability to maintain office records and to prepare accurate and timely reports.
Ability to operate a variety of standard office equipment.
Ability to conduct training for employees in the functions/systems of the Electronic Monitoring Program.
Ability to establish and maintain effective working relationships with staff and public.
Ability to keep complex financial and statistical records.
Ability to communicate effectively both orally and in writing.
Ability to work the required hours of the position.
