POSITION SUMMARY:
This position provides administrative support to the Sheriff and other administrative staff by coordinating Civil Process, coding and entering citations and warnings, coordinating warrants, handling information requests, records and performing clerical duties.

ESSENTIAL FUNCTIONS:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. To perform this job successfully, an individual must be able to perform each duty satisfactorily. Other duties may be required and assigned.
• Serves as receptionist for all incoming calls and visitors of the Sheriff’s Office to help them with any requests or get them in contact with who can.
• Performs general clerical duties such as typing, filing, indexing, making photocopies, faxing/emailing correspondence, and UPS mail preparation.
• Transcribe reports into the records management system for; documents non-transcribable items within the Records Management System. Processes digital pictures.
• Reviews, validates and transmits traffic citations, non-traffic citations, accident reports and warnings daily.
• Processes warrants. Receives, logs, verifies warrant paperwork for accuracy, and creates warrant in records management system. Quashes/cancels served warrants.
• Prepares documents for civil processing. Accepts paperwork and reviews for accuracy; accepts and receipts proper fees.
• Processes Chapter 51-Emergency Detentions by compiling reports and required forms.
• Compiles case documentation and forwards to proper agencies.
• Processes OWI arrest paperwork, including mailing required paperwork to Madison and sending the required paperwork to the District Attorney’s office.
• Prepares restraining orders.
• Assists in the preparation of Sheriff’s Sales; Schedules, clerks, and processes necessary paperwork.
• Validates citation information and adjusts according to court calendar with written notice to defendants.
• Prepares and compiles case files for distribution to the District Attorney’s office, Juvenile Intake and all other assisting agencies.
• Compiles and maintains statistics for the department.
• Maintains recordkeeping system for alarm violations, drafts warning letters when necessary, and issues citations for false alarm violations.
• Maintains necessary records of all Temporary Restraining Orders.
• Assists with the release of seized evidence/property/vehicles when necessary; verifies and validates Uniform Crime Report for State of Wisconsin and FBI.
• Prepares and validates high-level reportable cases through the State of Wisconsin/FBI – WIBRS (Wisconsin Incident-Based Reporting System) guidelines.
• Records and maintains monthly court calendar for the Sheriff’s Office personnel who are subpoenaed.
• Maps all crash reports per State regulations.
• Other duties as assigned.

MINIMUM QUALIFICATIONS:

EDUCATION AND EXPERIENCE REQUIREMENTS
• Associate degree in an administrative or business-related field.
• Two years’ work experience in an administrative or clerical position.
• An equivalent combination of education and experience may be substituted for the above listed requirements.
• Appointment will be conditional upon successful completion of a criminal background check.

Full Pay Range: $22.65 – $30.49
Expected Pay Range: $22.65 – $25.38
