UNIT SECRETARY, Brookside Care Center

The Unit Secretary assists the nursing and medical record personnel with clerical tasks for the efficient administration of the facility.

2024 Hiring Range: $20.31 – $23.08 per hour

Work Schedule
• This is a full-time position working 40 hours per week, Monday through Friday, generally from 8:00 AM to 4:30 PM

Position Summary and Job Duties
• Enter data and complete necessary forms, requisitions, and communications
• Prepare charts for admissions, transfers, and discharges
• Maintain resident charts in appropriate, organized, and systematic order
• File reports on charts in established order
• Upload and scan resident documentation as necessary
• Complete daily filing of medical records
• Complete yearly audit of medical records and purge previous year’s records
• Initiate and manage flow of paperwork for consultations, transfer of patient to another facility, etc.
• Work closely with front desk Administrative Assistant to coordinate transportation of residents with families and physicians using caravan or other transportation service
• Receive, place, and transfer telephone calls, maintaining strong customer service skills
• Input and retrieve data as necessary
• Assist with retrieving medical records for appeals and submitting through the portal process
• Work with onsite physician to prepare paperwork as required and email to charge nurse monthly
• Check and restock office supplies as needed at nursing stations
• Assist in maintaining a clean, organized, and safe environment
• Perform other work as required or assigned

• Knowledge of the principles, methods, and standards of nursing practices
• Good verbal and written communication skills
• Basic computer and office equipment skills
• Skill in Microsoft Word, Outlook, and Excel
• Ability to maintain confidentiality requirements and keep accurate records
• Ability to work with physicians, nurses, attendants, residents, and the general public
• Ability to understand and follow oral and written instructions and assignments
• Ability to communicate effectively with residents, family members or responsible parties, physicians, and others as required
• Ability to work respectfully in a diverse and inclusive environment

Job Requirements, Education, Training and Experience
• High school diploma or GED equivalent
• Prior experience as a Ward Clerk or Unit Secretary in an acute or long-term nursing home or hospital
• Successful completion of a Health Unit Coordinator or equivalent program from an accredited technical college, preferred

• Must be able to lift 50 pounds from floor to waist and 20 pounds from waist to shoulder
• Must be able to carry 50 pounds for up to 20 feet

The successful candidate for this position will be required to comply with the Center for Medicare & Medicaid regulations and Brookside Care Center’s Mandatory Vaccination Policy requiring vaccinations in healthcare facilities. Proof of vaccination will be required as a condition of employment unless an individual obtains an approved medical or religious exemption.
