Job Description:

The purpose of the Office Manager-Sheriff’s Office is to record and maintain financial records and supervise clerical support for the Sauk County Sheriff’s Office.

Essential Duties and Responsibilities

• Hire, orientate, evaluate, train, monitor, supervise, discipline, and approve leave, scheduling, payroll, and training for the Administrative Services Division.

• Oversee division and Sheriff’s Office accounts payable and receivable, and prepare monthly revenue account balance record for the County Treasurer.

• Oversee Sheriff’s Office vehicle registration program and maintain vehicle records. Maintain vehicle fleet records.

• Prepare agendas, minutes, and draft resolutions under supervision of the Sauk County Sheriff, as well as agendas and minutes for departmental meetings. Post agendas and minutes on the County website and Granicus.

• Develop, update, and implement clerical policies and procedures.

• Assist with the completion of, or complete and distribute paperwork for internal purposes for Accounting and Personnel.

• Collect, review, and enter payroll information.

• Enroll officers in required trainings, including registration and lodging. Maintain associated internal employee files, Acadis records, and WI DOJ certification criteria.

• Type letters, memos, and reports per management.

• Compile data for audits, accounts payable/receivable, annual reports, and other items as requested.

• Prepare the annual budget, including salary spreadsheets, for the Sheriff’s Office with oversight and approval from the Sheriff.

• Coordinate extraditions to and from other states. Coordinate the transportation of inmates to and from Sauk County for various court proceedings or court orders.

• Posses detailed knowledge of the mental health commitment process to serve as a resource for Sheriff’s Office and outside staff. Coordinate required transportation and staffing.

• Research and develop grant applications. Maintain and enter grant reporting records for both State and Federal grants.

• Maintain drug ledgers in compliance with Federal regulations.

• Direct supervision of the Administrative Services Supervisor.

Additional Duties and Responsibilities

• Meet with new and current vendors and maintain vendor listings and contracts.

• Maintain records for the Uniform Voucher System.

• Enter, update, and maintain fixed assets.

• Manage Sheriff’s Office cell phones, including change over when upgraded.

• Assist with transition regarding clerical procedures when new Sheriffs are elected.

• And other duties as assigned.

Knowledge, Skills and Abilities

• Computer skills, such as operating Microsoft Office Suite

• Ability to read graphical representations

• Verbally and in writing to Office personnel, vendor representatives, dog pound manager, financial auditors, jail inmates/detainees, and the public

• Advisory data and information such as various manuals, invoices, news releases, squad car maintenance lists, dog pound reports, revenue and expense reports, personnel files, and routine and non-routine correspondence

• Adding, subtracting, multiplying, dividing, and calculating percentages, fractions, and decimals, as well as calculating discounts and interest

• By managing, directing, teaching, controlling, counseling, mediating, convincing and persuading others

• Explain, demonstrate, and clarify to others established policies, procedures, and standards

• Compare, count, differentiate, measure, sort, classify, compute, tabulate, and/or categorize data and/or information

• Assemble, copy, record, and transcribe data and/or information

• Analyze data and information using established criteria to define consequences and consider and select alternatives

• Apply functional and situational reasoning by exercising judgement, decisiveness, and creativity in everyday routine and non-routine situations

• Use fine and gross motor skills to perform tasks such as operating a keyboard, photocopier, telephone, calculator, and computer printer

• Exert effort in light to moderate work, such as lifting, carrying, pushing, crouching, crawling, balancing, and standing for long periods of time

• Recognize and identify degrees of similarity and differences between characteristics of colors, forms, sounds, odors, textures, etc. associated with objects, materials, and ingredients

Environment

• Occasionally unsafe and uncomfortable in respects to violence and noise.

Required Working Hours

Standard working hours may vary between shifts and rotations. Please note these hours are subject to change and additional hours may be needed or required. Emergency on call may be needed. Compensation beyond normal hours will be subject to applicable state and federal regulations.

Education and Experience Requirements

Required: Associate’s degree in Business Management or another related field
3-5 years of office support experience

Preferred: Prior accounting and/or computer background
1 year of supervisory experience

Any combination of education and experience that provides equivalent knowledge, skills and abilities may be considered.
