Job Summary
Performs highly responsible, complex and confidential administrative support for the County Executive and other staff as assigned. Primary duties include general office management and constituent assistance. Serves as a liaison between office visitors, callers, news media, local, State and Federal officials and the public. Coordinates the day-to-day operations and functions of the County Executive. Works on special projects as assigned by the County Executive.

Essential Duties
Responds to requests and questions from the public regarding county operational issues and vision; attends meetings as requested.

Performs office management functions necessary for the day-to-day operation of the Executive Office such as scheduling appointments, meetings and other events; answering and responding to telephone calls; providing requested information to county department heads, employees, other agencies, the media, and the public; preparing and processing of purchase requisitions; and handling of incoming and outgoing mail and drafts correspondences for the Executive’s consideration and approval.

Assists in the assigning and monitoring of the appointment of members to various boards, commissions, and committees and updates listings for each; maintains accurate and complete records of appointments.

Coordinates and schedules travel arrangements and meetings; prepares for and arranges department head meetings to include distribution of agendas and set-up of meeting location.

Maintains and upgrades professional knowledge, skills, and development by attending training programs and reading professional journals and publications.

Works on special projects as assigned by County Executive.

Minimum Qualifications Required
Education and Experience:

Post-secondary degree, plus three years of administrative experience; or any equivalent combination of education, training and experience which provides the necessary knowledge skills and abilities.

Knowledge, Skills & Abilities
Knowledge of assigned department operations and organization or ability to acquire such knowledge during a reasonable period of training.

Knowledge of and ability to utilize a computer and the required software. Proficient in Microsoft Word, Excel, Power Point and Outlook.

Ability to think independently in order to anticipate and prepare for the needs of the County Executive, Board Supervisors and executive-level staff.

Ability to respond to requests and questions in a professional manner.

Ability to prepare and maintain complex office and confidential records and to prepare accurate reports from records and materials.

Ability to prepare effective correspondence on moderately complex matters and perform office management details without referral to a supervisor.

Ability to establish and maintain effective working relationships with County, State and Federal officials, employees, public, and the news media.

Ability to resolve complaints courteously and tactfully.

Ability to communicate effectively orally and in writing.

Ability to make independent decisions in accordance with established policies and procedures.

Ability to work the required hours of the position.
