Emergency Management Deputy Director
The purpose of the Emergency Management Deputy Director is to provide administrative support for the Sauk County Emergency Management (EM) Department.
*This position will offer an average of 30 h per week.
Essential Duties and Responsibilities
• Perform EM reception tasks such as answering phones, welcoming visitors, processing department mail, scheduling meetings, taking messages, and providing information.
• Act on behalf of EM when EM Director is not available.
• Order EM supplies; logistics during disasters for the county.
• Assist with compiling and documenting disaster related expenses for reimbursement in association with local, state, and federal guidelines.
• Assist with presenting and preparing EM sponsored trainings and exercises, withing the county buildings and out in the community.
• Type and proof various documents such as plans, policies, procedures, presentations, flyers, and news articles.
• Maintain social media accounts.
• Maintain exercise, training, and documentation for Local Emergency Planning Committee (LEPC), Local Emergency Management (LEM) Committee, School Incident Management Team (IMT), Rural Safety Days, etc.
• Enter invoices, billings, accounting updates, and payroll
• Act as secretary for various meetings; handle meeting minutes and posting to appropriate places.
Additional Duties and Responsibilities
• Assist with compiling and documenting disaster related expenses for reimbursement and grants.
• Stock and distribute brochures and department materials.
• Assist with Emergency Management activities during and after a disaster/emergency.
• Be a back-up contact person for various emergency applications and systems in the absence of the Emergency Management Director.
• Ability to work extended hours, and on weekends as needed.
• And other duties as assigned.
Knowledge, Skills and Abilities
• Descriptive data and information such as invoices, payroll timesheets, vouchers, disaster plans, agendas, meeting minutes, accident reports, various manuals, and routine and non-routine correspondence
• Verbally and in writing with county personnel, emergency response personnel, municipal officials, insurance company representatives, Federal and State employees, law enforcement personnel, and the public
• Explain, demonstrate, and clarify to others established policies, procedures, and standards
• Computer skills, such as word processing, spreadsheets, database management, and creating reports
• Adding, subtracting, multiplying, dividing, and calculating percentages, fractions, and decimals
• Compare, count, differentiate, measure, sort, classify, compute, tabulate, and/or categorize data and/or information
• Assemble, copy, record, and transcribe data and/or information
• Analyze data and information using established criteria to define consequences and consider and select alternatives
• Apply functional and situational reasoning by exercising judgement, decisiveness, and creativity in everyday routine and non-routine situations
• Use fine and gross motor skills to perform tasks such as operating a keyboard, photocopier, telephone, calculator, and computer printer
• Exert light physical effort in sedentary to light work, involving lifting, carrying, kneeling, crouching, pushing, and pulling
• Recognize and identify degrees of similarity and differences between characteristics of colors, forms, sounds, odors, textures, etc. associated with objects, materials, and ingredients
• Safe and comfortable in respects to violence, noise, and disease
• Occasionally working nights or weekends for trainings and/or meetings
• Occasionally on call for emergencies
Required Working Hours
Standard working hours are Monday through Friday, 8:00 am until 4:30 pm. Please note these hours are subject to change and additional hours may be needed or required. Compensation for additional hours beyond normal working hours are subject to applicable state and federal regulations.
Education and Experience Requirements
Required: Associate’s degree in Business Administration or another related field
1-3 years Emergency Management Experience
1-3 years administrative experience
Licenses/Certifications: Valid Wisconsin State Motor Vehicle Operator’s License
Preferred: Administrative experience in emergency type fields or industries
Experience with federal and state agencies relating to Emergency management grants, funding, disasters, etc.
Any combination of education and experience that provides equivalent knowledge, skills and abilities may be considered.
