Job Summary
Performs specialized clerical functions of considerable responsibility, calling for thorough familiarity with Health & Human Services Department regulations and procedures. Responsible for administrative assistance to Children, Youth & Families Program Area, Administration and other units.

Essential Duties
Essential Duties:
Perform specialized clerical assignments executed with a minimum of supervision.

Perform data entry functions into various databases.

Perform backup responsibility for Department Receptionist/Switchboard Operator, and other positions as needed.
Maintenance of agency files including pulling files, re-filing, archiving and/or destroying records and assisting with organization of filing as assigned.

Examples of Other Duties:
Initiate and/or update required forms in case files for Child Protective Services and Pals including assigning case numbers.

Complete processing of Child Protective Services Intake and service materials prior to filing.

Assemble case files including data sheets.

Responsible for sorting and distribution of department mail and correspondence.

Transcribes/records various meeting minutes.

Responsible for Child Protective Services records inspection, records requests, and background checks.

Assist Social Workers/Case Managers with purchase requests and authorizations.

Minimum Qualifications Required
Education and Experience:

High School Diploma (Associates Degree preferred), plus one year of office experience; or any equivalent combination of education, training and experience which provides the necessary knowledge, skills, and abilities.

Licenses and Certifications:

None

Knowledge, Skills & Abilities
Knowledge of general office practices, and skill in the application of those practices.

Ability to learn departmental programs, operations and policy with respect to general functions performed.

Knowledge of and ability to utilize a computer and the required software, including Microsoft Office Suite Products (Excel, Word, and Outlook).

Ability to assume responsibility, work independently, and maintain client confidentiality.

Ability to understand and carry out oral and written instructions.

Ability to communicate effectively both orally and in writing.

Ability to establish and maintain effective working relationships with staff and the public.

Ability to work the required hours of the position.

Ability to prioritize and meet deadlines as required.
