The Portage County Clerk of Courts department is hiring a Chief Deputy Clerk of Court to join the team!

What are the primary job duties?

Supervision functions that include the following;

Supervises and evaluates the staff in the Clerk of Courts Office using Human Resources and department policy.
Assign and assist in duties to expedite work flow within the department and courtroom. Handle and oversee courtroom clerk duties including in-court processing.
Maintains employee personnel and payroll records.
Assist in workload backup in absence of an employee.
Approves and schedules time off requests, approves, compensatory, flex, and overtime for employees. Monitors benefit usage for all staff.

Meet with the Clerk of Circuit Court to advise of personnel issues, performance, work load, computer program updates, policy and procedure, training and setting up meetings with other county departments, etc.
Assist Clerk of Circuit Court in interviewing and filling vacancies.
Conduct department orientation and assist in the training of new employees.
Administration Functions of the Clerk of Courts Office, including;

Coordinates court calendar scheduling with Portage County Judges, out-of-county judges, court commissioners, prosecutors, attorneys, law enforcement, and litigants when cases are scheduled, as well as monitor changes.
Work with Department of Corrections, Division of Probation and Parole, law enforcement agencies, District Attorney’s Office, Family Court Commissioner, and others to maintain accurate information regarding cases and work towards optimal communication with all agencies that interact with the Circuit Courts.
Work with Department of Revenue (DOR) to accurately maintain Tax Warrant information from DOR as well as warrants, liens, and judgments. Order and keep an inventory of all supplies for the Clerk of Courts Office.
Work with Wisconsin Court Operations Information Technology Department (CCAP) to monitor, upgrade, resolve technical problems, and input information into the Portage County CCAP database.
In the absence of the Clerk of Circuit Court, become the representative for the Clerk of Courts department at meetings.
Handle governing committee meeting agenda and minutes on a rotating basis.
Assist in duties of the Court.

What are the minimum job requirements?

High school diploma or equivalent.
A minimum of one year course work from an accredited vocational college or technical school in business, paralegal or related field. Associate degree in business, paralegal or related field preferred.
Experience with or in a Clerk of Circuit Court Office highly desirable.
Three years of progressively responsible work experience in a supervisory setting.
General Human Resources experience preferred.
Ability to successfully pass a criminal and financial background check
Any combination of education and experience which provide the required knowledge, skills and abilities.
