The Administrative Assistant Senior performs experienced-level clerical and office administration support to the offices of elected officials, department/division heads, and office managers among others. This position requires significant knowledge of department or division work and activities and technical knowledge of policies and procedures specific to the assignment area. 2024 Hiring Range: $21.82 – $24.79 per hour
Essential Duties and Responsibilities
• Assists the Child Support Attorneys in court and in the office
• Drafts orders, letters, reports, agendas, and other documents
• Attends court regularly and drafts orders while court is in session
• Inputs information into program databases
• Follows up and tracks necessary paperwork
• Monitors the status of cases to ensure appropriate action is taken in a timely manner
• Schedules, coordinates, monitors, and updates the Genetic Testing Calendar
• Reviews and updates files after court and begins processing orders issued by the court commissioner or judge
• Files documents and processes notifications with the court through the wiKIDS/CCAP eFiling interface
• Maintains and reports court statistics
• Works reports as needed
• Performs other duties as required or assigned
Success Factors
Knowledge of:
• Legal terminology, legal documents, and legal writing proficiency
• Documents and information needed for court proceedings
• Courtroom procedures and hearing settings
• Kids Information Data System (KIDS), wiKIDS, Child Support Online Services (CSOS), Control-D, CARES/Cares Worker Web (CWW) and Circuit Court Access (CCAP) or ability to obtain required knowledge within six months of employment
Skill in:
• Entering alphanumeric data into multiple entry systems
• Interpreting and applying complex laws, regulations, and rules
• Legal language writing
• Providing high quality customer service to customers in a timely manner
• Using office equipment, including computer, calculator, scanner, phone, and fax machine
• Microsoft Word, Excel, Outlook, Teams, and Adobe Acrobat Professional
• Attention to detail and organization
Ability to:
• Work with electronic and paper files
• Gather, organize, and evaluate data
• Meet schedules and deadlines of work
• Follow oral and written instructions
• Communicate effectively, both orally and in writing

Job Requirements, Education, Training and Experience
Required Education and Experience
• High school diploma or GED equivalent
• Three years of experience performing clerical duties and functions
• Experience with individuals of varying socio-economic and cultural backgrounds
Preferred Education and Experience
• Associate or Bachelor’s Degree in Paralegal, Administrative Professional, Human Services/Social Services, or legal related field
• Experience using KIDS, CARES, CWW, CCAP, and or eWiSACWIS state databases
• Experience working with the public in a human services/social services capacity
• Experience in a legal setting working directly with attorneys and/or court officials
• Bilingual proficiency (English/Spanish)
• Or any combination of education, training, and experience which provides the required knowledge, skills, and abilities
Other Job Requirements
• Valid driver’s license and acceptable driving record
• Regular attendance and punctuality
• Must pass a criminal background check/fingerprinting
• Ability to become a Notary Public within six months of employment and maintain thereafter
